Some timely tips for pre-event planning.

Spring may seem far away, but it’s never too early to plan for the conference, especially for SEAA 2020 exhibitors. Here are a few timely suggestions to help you make the most of your time and ensure that your materials will arrive on or ahead of schedule.

Optimize your space

Know your space and plan your display ahead of time - SEAA exhibit tables are 6' x 3'; all material must fit on the tabletop; nothing is allowed to stand on the floors or walkways. Tables are placed side-by-side, and back-to-back. 

A simple pre-conference test is recommended, to make sure your display and marketing materials all fit together and look good in your allotted space. You can easily accomplish this by taping off a 6' x 3' space on a conference table and setting up your display and marketing collateral. It’s much easier to make any changes at your office than on the show floor.

Nail your logistics

Use 2 shipping labels to ensure an accurate, on-time delivery of your booth materials: the shipping label created by UPS/FedEx and a separate label that clearly identifies your company and booth number.

Make sure to write down your tracking numbers and bring them with you. Accidents happen and packages get lost in transit. SEAA and our partner hotel can troubleshoot issues much more quickly if tracking numbers are available.

Know your agenda and audience

Know the agenda - download the SEAA App for the most up-to-date information regarding the 2020 show.  Review the schedule ahead of time so you know when you need to be in the Exhibit Hall, and when you will have free time to schedule some on-site meetings or check in with the home office.

Know who's coming - SEAA provides a pre-show list to all registered Exhibitors one week before the start of the show.  Review the list to identify any current or potential customers that will be attending. Use the list to make personal contact with these participants. Blast emails are not as effective as a quick, personal note.
